If you have just gotten a job working as a fleet manager for your business, you may feel somewhat overwhelmed with new tasks. One thing that you have to do immediately is to figure out how to make sure that all of the vehicles are taken care of. Preventative maintenance is the best way to make sure that your vehicles stay in the best shape possible and last as long as possible. Here are some tips:
1. Check past records: The best way to know when a vehicle needs to have new work is by paying attention to past performance. Not all your vehicles are going to need the same preventative maintenance at the same time. For example, if one vehicle makes a lot of long distance trips, it will need to be checked at a different time than a truck that does nothing but short term trips.
2. Make a plan: Your next step is to make a plan for vehicle maintenance. That plan should be individualized for each vehicle. It won't totally need to be custom since your vehicles will all need to have the same basic preventative maintenance; it will just have to happen at different times. For example, after looking at your past records, your plan may involve sending long distance vehicles to get maintained five times a year, while short-distance vehicles may only go three times a year. Also, if you make sure that your vehicles go in for maintenance at different times, you will still have enough vehicles on the road to make sure your business is running the way that it should.
3. Try management software: Trying to keep track of everything can be confusing if you are trying to do it all on paper. A much easier way for you to do it is to find some fleet management software. That software will let you keep track of how many times each vehicle has been seen, both for preventative maintenance and to take care of an emergent problem. The software you choose to use may also have a function which can remind you of what maintenance the vehicle has seen and when it's due for something else. Some software will even track things like mileage, gas usage, who drove, and other related information.
Making sure that your business's fleet stays on the road is important. Trying to make sure that it happens can be a very big task, especially if you have a large fleet to track with many fleet jobs. Having some tips to make it easier can help you do your job more efficiently and make sure that all the vehicles get the preventative maintenance that they need when they need it.
